We are currently seeking experienced Medical Virtual Assistants to join our Medical Records and Quality Assurance (QA) Department. This full-time role is integral in maintaining the integrity of medical, mental health, and psychiatry coding through comprehensive chart reviews. Additionally, you will perform a variety of medical virtual assistant tasks in our fast-growing outpatient mental health office.
This role is essential Medical Records/QA Department: A key responsibility includes daily audits of up to 50-75 charts to ensure their accuracy and completeness in our fast-growing outpatient mental health office.
Work Schedule:
-Full-time position, Monday to Friday.
-8-hour shift – Either Shift 1 or Shift 2
–Shift 1: 9:00 AM to 6:00 PM PST, including a 1-hour break.
–Shift 2: 10:00 AM to 7:00 PM PST, including a 1-hour break.
Key Responsibilities:
– Audit Medical Charts: Conduct daily detailed reviews of multiple medical charts, ensuring all
documentation is complete, accurate, and up-to-date, with a focus on mental health services.
-Verify Medical Coding: Verifying medical coding for consistency and accuracy against current healthcare regulations and standards, with emphasis on mental health and psychiatry standards.
-Manage Patient Communications: Handle inquiries and communications via phone, text, email,
and fax in English ensuring efficient patient interaction.
-Patient Administration: Process registrations, appointments, and payments within our Electronic
Health Record (EHR) system, ensuring accuracy and compliance.
-Administrative Support: Manage billing inquiries, collect copays, and ensure smooth processing
of payments.
– Reporting: Communicate audit findings and documentation discrepancies to management and
team members, suggesting necessary improvements to enhance healthcare delivery.
-May be asked to potentially appear on camera to greet patients.
-Performing various virtual assistant duties that support patient care and office operations
Requirements:
-Strong fluency in English, with excellent communication and writing skills.
-Minimum of 1 year of experience in a psychiatry, mental health, or therapy practice, including familiarity with medical coding and chart auditing.
-Proficient in customer service and administrative roles, ideally within a healthcare setting.
-Reliable technology setup, including a laptop/PC, high-speed internet (minimum 20 mbps), a backup internet source, and a noise-cancellation headset.
-Familiarity with healthcare systems such as Practice Fusion or intakeQ is preferred; training will be provided if necessary.
-An outgoing, enthusiastic demeanor with a strong commitment to teamwork and reliability.
-A background in mental health, medicine, nursing, or a related healthcare field is advantageous.
