Virtual Assistant for Tax Preparation Business

As a Virtual Assistant, you’ll be the backbone of our operations, providing administrative, organizational, and client support. You will handle key tasks that ensure our business runs efficiently while maintaining a high level of professionalism with our clients. This is a remote position offering flexible hours, making it ideal for someone who is self-motivated and proactive.

Key Roles & Responsibilities

Administrative Support
Manage and organize the owner’s calendar, scheduling meetings and appointments efficiently.
Handle incoming emails, and messages, responding in a professional and timely manner.
Maintain and organize digital files, ensuring all documents are easily accessible and secure.
Create spreadsheets, reports, and summaries for internal use and client updates.
Assist with basic bookkeeping tasks, such as tracking invoices and payments.

Client Support & Communication
Act as the first point of contact for clients, providing friendly and professional communication.
Manage intake for new clients, ensuring all necessary forms and documents are submitted.
Follow up with clients to address missing or incomplete documentation.
Send appointment reminders, deadline alerts, and general updates to clients.
Answer basic questions from clients and escalate complex inquiries to the tax professional.

Tax Preparation Support
Assist in collecting, reviewing, and organizing client documents needed for tax preparation.
Ensure accuracy and completeness of forms and data prior to submission to the tax professional.
Coordinate with clients to resolve document-related issues or discrepancies.
Maintain an organized system to track client progress throughout the tax preparation process.

Social Media & Marketing Support
Manage social media platforms by creating and scheduling posts, responding to comments/messages, and engaging with the audience.
Draft and send email campaigns, newsletters, or updates to clients about important deadlines or tax tips.
