I’m a busy realtor closing 70-100 transactions per year, and I’m looking for a reliable, detail-oriented Virtual Assistant to help us stay organized and ensure nothing falls through the cracks. The ideal candidate must have excellent spoken and written English skills, as I’ve had issues with poor grammar and spelling in the past.
Key Responsibilities:
Transaction Management
* Assist me, my other agents, and my transaction coordinator in staying organized.
* Ensure all transaction dates and deadlines are met.
* Coordinate with the transaction coordinator to manage contracts, cancellations, and closings.
Client Communication
* Update buyers and sellers on progress and important happenings.
* Create clear and professional expectation documents to send to buyers and sellers.
* Develop automated systems to gather necessary information from buyers and sellers before going under contract.
Lead Management
* Follow up with all leads and update lead information across all systems.
* Remind me to follow up with leads and critical tasks.
MLS and Calendar Management
* Upload listings to MLS as needed.
* Keep calendars updated and send text reminders about important events.
Realtor Assistance and Training
* Support multiple realtors and assist in training new agents.
Document and System Creation
* Create and maintain detailed deal progress sheets.
* Develop automated workflows to improve efficiency.
Requirements:
* Fluent in English with strong written and verbal communication skills.
* Exceptionally organized and detail-oriented (Type A personality preferred).
* Flexible and able to adapt to tasks as they arise (estimated 10 hours per week).
* Familiarity with real estate processes is a plus but not required (a licensed transaction coordinator handles paperwork and MLS postings).
* Must be proactive and capable of managing tasks independently with minimal input.
Compensation:
* This is a part-time, flexible role with no guaranteed set hours. You will log your hours based on the tasks assigned.
* Compensation is $150 per transaction, paid only if the transaction closes.
Important Notes:
* I am a very short communicator. You will receive tasks via email or text in brief, to-the-point sentences (e.g., “Remind me to follow up with X lead”).
* I’ve done all these tasks myself in the past, so I have a clear understanding of how long things should take.
