PURPOSE OF POSITION
Performs intermediate level to complex skilled administrative work related to procurement functions of the company related to seeking bid opportunities. The position works under general guidance and reports to the company Manager.
To review bid submission for compliance and responsiveness, Completing bids with accuracy, precision, leading the end-to-end bid process, qualification and proposal submission. Working with pricing/sourcing team for pricing strategy; Developing and executing bid strategies that align with the company’s goals and client requirements; Coordinating with various teams to ensure all aspects of a bid are addressed; Working closely with Strategic Sourcing Specialist to manage bidding budgets, resources and timelines to ensure on-time and high-quality proposal submissions; Maintaining comprehensive and accurate bid documentation, including bid files, records of communication and pricing information; Ensuring compliance with client requirements, regulations and industry standards; and Monitoring and evaluating bid performance metrics to identify areas for improvement.
ESSENTIAL FUNCTIONS
We seek an efficient and skilled Bid Administrator to join our procurement team.
As a Bid Administrator, you will help lead the bid process from bid/proposal preparation to submission. This includes ensuring the timely submission of high-quality proposals that meet client requirements, managing the bid budget and resources effectively and establishing compliance with all RPF requirements and guidelines. The Bid Administrator will also uphold an understanding of market trends and competitor activity to inform bid strategy.
Core responsibilities include:
● Identify and evaluate new business opportunities through market research, competitor analysis and client needs assessment.
● Lead and coordinate the entire bid management process, including reviewing bid invitations, conducting bid/no-bid analysis and establishing timelines.
● Develop compelling and persuasive bid content, including executive summaries, value propositions, pricing models and technical responses.
● Collaborate with internal stakeholders, such as sales, operations and subject matter experts, to gather information and develop bid strategies.
● Coordinate and facilitate bid review meetings, ensuring key stakeholders provide input and address concerns or issues.
● Work with pricing teams to develop competitive pricing strategies that align with bid requirements and profitability targets.
● Coordinate with legal and compliance teams to ensure bid proposals meet all legal and regulatory requirements.
● Monitor and track bid performance metrics, analyzing win/loss data to identify trends and areas for improvement.
● Conduct post-bid analysis and debrief sessions to identify areas of improvement and implement lessons learned for future bids.
● Continuously refine and improve bid processes, templates and best practices to enhance efficiency and effectiveness.
● Stay updated on industry trends, market insights and emerging best practices in bid management.
MINIMUM QUALIFICATIONS
● Associate’s degree in Business Administration or related field.
● 5+ years of experience as a bidder/proposal administrator or a similar role.
● Experience working on items with short deadlines.
● Proficient skills in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook
PREFERRED
● Associate’s degree or advanced preferred.
● Experience with Salesforce Management Software and Monday.com.
● Ability to create visually appealing and engaging bid presentations.
● Strong project management skills, with the ability to prioritize tasks, meet deadlines and manage multiple bids simultaneously.
● Exceptional organizational and time management skills.
● Excellent analytical and problem-solving skills to assess bid opportunities and develop winning strategies.
● Excellent written and verbal communication skills, with the ability to present complex information clearly and persuasively.

IDEAL CANDIDATE
The ideal candidate will be advanced in their knowledge of Microsoft Office Suite with an ability to create meaningful reports and have an Associate’s degree or higher in Business. They should also be able to work independently with initiative in fast-paced situations with tight deadlines while maintaining a friendly disposition and good internal customer service. Must be punctual and a self-starter, team player and goal oriented. Self-motivated with ability to prioritize work. Organized and methodical with excellent attention to detail.
