Business Compliance & Restructuring Specialist for Moving Company

Position Overview:
We are seeking a skilled and detail-oriented Business Compliance & Restructuring Specialist to assist in bringing our moving company into full compliance with state and federal regulations. This role involves overseeing the proper setup of the business, resolving any outstanding compliance issues, and ensuring ongoing adherence to legal and operational requirements. The ideal candidate will be experienced in business licensing, restructuring, and compliance, particularly within the moving and transportation industry.

Responsibilities:
1. Business Setup & Restructuring:
• Review the company’s current status with the Florida Division of Corporations (Sunbiz) and ensure proper registration.
• File necessary amendments to Articles of Incorporation or Organization.
• Register a DBA (if needed) and secure an EIN from the IRS.
• Resolve any outstanding tax or annual filing delinquencies.
2. Licensing & Permits:
• Ensure state-level licensing compliance with the Florida Department of Agriculture and Consumer Services (FDACS) for intrastate moving operations.
• Obtain or renew necessary permits and licenses for household goods movers.
• Assist with FMCSA registration for interstate operations, including obtaining USDOT and MC Authority numbers.
3. Insurance Management:
• Research and secure appropriate insurance policies, including:
• Liability insurance.
• Cargo insurance.
• Workers’ compensation and general liability coverage.
• Submit proof of insurance to state and federal agencies as required.
4. Compliance with Federal & State Regulations:
• Ensure compliance with FMCSA and Florida-specific rules for moving companies, including vehicle registration and maintenance.
• Assist in setting up Unified Carrier Registration (UCR) and filing International Registration Plan (IRP) and International Fuel Tax Agreement (IFTA) documentation.
• Develop and update contracts, tariffs, and customer agreements in line with state and federal standards.
5. Operational Efficiency:
• Review and organize company finances, including setting up a business bank account.
• Establish systems for tracking revenue, expenses, and tax filings.
• Create a calendar for compliance deadlines, including annual reports, insurance renewals, and other filings.
6. Marketing & Branding Assistance:
• Ensure the company’s online presence (website, Google My Business, social media) is up-to-date with accurate information.
• Develop strategies to enhance the company’s reputation and secure positive reviews.
7. Ongoing Compliance Monitoring:
• Conduct regular audits to ensure all licenses, permits, and insurance policies remain active and compliant.
• Implement systems for employee compliance, including CDL verification and safety training programs.

Qualifications:
• Proven experience in business compliance, restructuring, and licensing (experience in the moving or transportation industry preferred).
• Knowledge of FMCSA regulations, Florida business laws, and Sunbiz requirements.
• Familiarity with securing and managing insurance policies for moving companies.
• Strong organizational and problem-solving skills.
• Ability to manage multiple deadlines and work independently.
• Excellent communication skills for interacting with government agencies, insurance providers, and stakeholders.
