JOB SUMMARY:

We are seeking a highly organized and proactive Client Care Communications Coordinator to join our team. The ideal candidate will manage client communications efficiently, ensure timely responses, and maintain excellent support across multiple channels. This role is crucial in delivering an exceptional client experience by handling messaging, scheduling, and other critical support tasks.

REQUIREMENTS:

1-3 years experience working as an administrative clerk or assistant in an organization is preferred.

This Job is Ideal for someone who is:

A Fast Learner, and can hit the ground running.

Attention to Detail: Strong attention to detail, including grammar and spelling, ensuring accuracy in all documentation.

Strong organizational skills.

Excellent communication skills, both written and verbal.

Proficiency in managing digital communication tools and tracking systems (e.g., MyCase, Google Sheets).

Ability to prioritize and escalate tasks effectively.

MUST BE FLUENT IN ENGLISH

PRIMARY DUTIES AND RESPONSIBILITIES:

Message Monitoring and Categorization:

Regularly check and review messages to ensure no unread or missed communications.

Categorize and route messages to the appropriate department or staff (e.g., legal assistants, attorneys, or administrative personnel).

Urgency Prioritization:

Identify the urgency of messages (critical, moderate, or routine) and relay them accordingly.

Ensure that urgent issues are escalated to relevant personnel immediately.

Information Gathering and Communication:

Compile essential details, including client names, message content, and links to case.

Relay messages via chat or email using established templates.

Follow-Up and Tracking:

Ensure all messages are acknowledged by the responsible staff.

Log and track communications in a shared spreadsheet to document progress and response times.

Flexibility for Additional Tasks:

Take on new responsibilities as directed by management to support the team and business operations.

4+ Hours per day Monday to Friday (20+ Hours per Week) Work hours will be between 8:30 am to 4:30 pm EST during the workdays of Monday through Friday.
