Business Overview:
We are a dynamic business storytelling coaching company that helps entrepreneurs, coaches, and speakers craft stories that resonate with their audiences, converting them into fans and paying customers. Our flagship programs include the quarterly Master Storyteller Academy and a 12-month mastermind, designed to guide clients through our 4M Million Dollar Framework: Mindset, Messaging, Marketing, and Monetization. Additionally, we offer an online storytelling course for those who are not yet ready for live training sessions.
Position Overview
We are seeking a highly organized, proactive, and resourceful Executive Virtual Assistant to support the CEO and ensure smooth day-to-day operations within the company. The ideal candidate will be skilled in managing multiple priorities, have experience in the personal development or coaching industry, and thrive in a fast-paced, mission-driven environment.
You will play a vital role in providing administrative, operational, and client management support, helping the CEO focus on high-impact activities to grow the business.
Responsibilities:
– Schedule and coordinate coaching sessions, workshops, and events.
– Communicate with clients via email, phone, and chat to provide support and address inquiries.
– Manage client appointments, calendars, and follow-up tasks.
– Assist in creating and updating coaching program materials, including presentations and handouts.
– Handle administrative tasks such as data entry, file organization, and document preparation.
– Conduct research and gather resources to support coaching initiatives.
– Create SOPs and use the Asana project management system.
– Manage Accounts Receivable.
Skills & Qualifications:
– Minimum 3 years of experience as an Executive or Virtual Assistant.
– Familiarity with the personal development or coaching industry is highly preferred.
– Proficiency in tools like Google Workspace, Zoom, Asana, Slack and Infusionsoft.
– Exceptional communication and writing skills.
– Highly organised with strong attention to detail.
– Ability to handle sensitive information with confidentiality and professionalism.
– Self-motivated, proactive, and capable of working independently.
– Strong time management skills, with the ability to prioritise and multitask effectively.
– Attention to detail and a high level of accuracy in work.
– Previous experience working in the coaching industry or with business coaches a plus.
