Position: Property Management Virtual Assistant, VA and Accountant
About Us: We are a dynamic property management team committed to providing exceptional service to property owners and tenants alike. We manage short term property rentals in the Orlando, Florida area. We handle everything from property listings to customer support, ensuring seamless operations and optimal experiences. We’re looking for a skilled Virtual Assistant to help us expand and refine our processes, manage our digital presence, and assist with various aspects of accounting, client communication, and social media.
Role Overview:
The Virtual Assistant will support our property management operations by handling a variety of tasks, from accounting and social media management to listing properties and responding to customer inquiries. The ideal candidate is proactive, detail-oriented, tech-savvy, and can manage multiple channels and responsibilities effectively. You’ll play a key role in keeping our digital and administrative operations smooth and responsive.
Responsibilities:
1. Accounting & Bookkeeping
o Manage accounts payable/receivable, invoicing, and expense tracking.
o Prepare monthly financial reports and assist with budgeting.
o Monitor rental income and coordinate with property owners as necessary.
o Help organize and manage the collection and payment of hospitality taxes
2. Social Media Development & Management
o Set up social media accounts.
o Develop, curate, and schedule engaging content across various social media platforms.
o Find social media groups to help generate leads to add more clients.
o Monitor social media channels, respond to inquiries, and engage with followers.
o Track analytics to refine strategies and improve reach and engagement.
3. Property Listings & Channel Management
o Create and manage listings on multiple platforms, including Airbnb, Zillow, and other real estate or rental channels.
o Update property information, rates, and availability as required.
o Ensure listings are optimized for visibility and SEO-friendly.
4. Customer Support & Client Communication
o Respond to tenant inquiries, maintenance requests, and general support questions.
o Assist property owners with account information, documentation, and property updates.
o Address issues professionally and efficiently to maintain positive client relationships.
5. Administrative Support
o Manage emails, organize digital files, and coordinate calendars.
o Support the property management team in handling special projects as needed.
Skills & Qualifications:
• Proven experience in virtual assistance, property management support, or a related field.
• Proficiency in accounting software (QuickBooks, Xero) and/or property management platforms.
• Excellent communication skills and customer service orientation.
• Knowledge of social media management tools (e.g., Hootsuite, Buffer) and analytics.
• Familiarity with listing channels (e.g., Airbnb, Zillow, MLS) and SEO best practices.
• Strong organizational skills, with a high attention to detail and ability to multitask.
• Ability to work independently, prioritize tasks, and adapt to changing needs.
Work Hours & Location:
This is a freelance, remote position. Preferred hours are 9am to 5pm Easter Time Zone, but maybe slightly change depending on our needs.
