Position Overview

We’re seeking a detail-oriented Virtual Sales Assistant to support our marketing agency’s growth by managing lead generation, appointment setting, and sales administration. This role is crucial in transitioning founder-led sales to a scalable system while maintaining our high-touch, ROI-focused approach.

Key Responsibilities

Lead Generation & Pipeline Management

Execute LinkedIn outreach campaigns targeting specific buyer personas (Marketing Directors, Business Owners, Consultants, Practice Owners)
Maintain and update CRM with prospect information and interaction history
Monitor and engage with potential leads across digital platforms
Support SEO and content distribution initiatives
Assist in implementing marketing automation workflows

Appointment Setting

Schedule and coordinate sales calls with qualified prospects
Conduct initial qualification of leads based on established criteria
Manage calendar and follow-up communications
Send meeting confirmations and preparation materials
Handle meeting rescheduling and cancellations professionally

Sales Administration

Create and maintain sales documentation and records
Prepare sales materials and proposals for client meetings
Support the development and distribution of marketing collateral
Track key metrics including lead response time and appointment-to-close rates
Generate regular reports on pipeline status and lead generation activities

Marketing Support

Assist in content distribution across social media platforms
Help maintain consistent brand voice in communications
Support the creation and distribution of thought leadership content
Aid in the preparation of pitch decks and sales presentations
Monitor competitor activities and market trends

Required Skills & Qualifications

2+ years of experience in sales support or administrative roles
Proficiency with CRM systems and sales tools
Strong understanding of LinkedIn and other social media platforms
Excellent written and verbal communication skills
Experience with marketing automation tools
Detail-oriented with strong organizational abilities
Self-motivated with the ability to work independently
Comfortable with digital tools and new technology
Must be conversationally fluent in English

Technical Requirements

Proficiency in:

CRM platforms
LinkedIn Sales Navigator
Google Workspace or Microsoft Office
Project management tools

Video conferencing platforms

Working Hours & Availability

20-30 hours per week (flexible)
Core availability during US business hours
