Job Title: Executive Assistant (AI Implementation, Marketing Background, Strong Personality)

Hourly Rate: $10–$12/hour (Higher rates can be considered based on candidate’s profile)

Location: Remote
Schedule: Full-Time (40 hours/week), Monday–Friday 9 AM to 6 PM, US Pacific Standard Time, with 24/7 availability for urgent needs

Job Overview

We are seeking a Top-Tier Executive Assistant to support our busy executive. This individual must possess a strong personality, proactive mindset, and the ability to take charge and drive initiatives independently.

In addition to providing high-level administrative support, you will leverage your sales & marketing background to bring fresh, innovative ideas to the table, and your AI implementation skills to optimize and streamline our business operations.

Key Responsibilities

– Administrative Support: Manage schedules, calendars, and appointments; handle complex travel arrangements; oversee email correspondence; and provide general day-to-day support.
– Project Management: Utilize tools such as Monday.com, Airtable, and Notion AI to track and organize tasks effectively.
– Financial Oversight: Manage basic bookkeeping or expense tracking via QuickBooks.
– Creative & Marketing Contributions: Design marketing materials in Canva; propose new strategies to help drive revenue and brand presence; bring innovative solutions to enhance marketing campaigns.
– Automation & AI Implementation: Identify efficiency gaps and implement solutions using platforms like Zapier, Power Automate,
ChatGPT, and Go Hgh Level (GHL) to automate workflows.
– Data & Reporting: Create and maintain spreadsheets and presentations using Excel and PowerPoint; generate insightful reports.
– Strategic Decision Support: Provide well-researched recommendations and insights to aid in decision-making processes.

Required Qualifications

1. Extensive Executive Assistant Experience!! Minimum of 7 years in an Executive Assistant role, supporting C-level executives or business owners.
2. AI & Automation Tools: Proven track record implementing and optimizing AI or automation tools (Zapier, Power Automate, Notion AI, Airtable, ChatGPT) to drive business efficiency.
3. Strong Personality & Leadership: Dynamic, proactive, and capable of working independently while demonstrating a take-charge attitude. You should be comfortable driving improvements and initiating change.
4. Marketing & Sales Background: Experience or exposure to marketing and sales strategies with the ability to think creatively and innovate.
