We are seeking a skilled Virtual Assistant to provide exceptional customer service and administrative support. This role involves handling phone calls, booking appointments, onboarding clients, and managing emails during PST hours (Mon-Fri, 9am-7pm). The ideal candidate should possess excellent communication skills, be highly organized and detail oriented. Here is more detail about what we are looking for:
A- Answer the income phone calls during PST working hours. The calls come in scattered. This would be with us forwarding calls from our goggle voice and tracking phone numbers.
B- Return calls/voice messages
C- Scheduled phone consultations for potentially booking appointments
D- Booking appointments and uploading into SimplePractice
E- Onboard clients with documents, discussing protocols and sending welcome email
F- Take messages and send to appropriate person on the team
G- Cancel client requested appointments
H- Gather clients’ insurance info and check their benefits/copays for our services.
I- Upload admin info into different google sheets, trello, simplepractice
J- Good customer service skills, organized, detail oriented, flexible schedule and available hours each week.
